Terms of Service

1. Who we are

Auto Voice Channels ("AVC", "we", "us") is the Discord bot and hosted service available at auto-voice.io. AVC is operated by Poly Haven (Pty) Ltd, a private company incorporated in South Africa. These terms are a contract between you and us, so please read them. They're written in plain English on purpose.

2. The service

AVC is a Discord bot that creates temporary voice channels on demand and cleans them up when they're empty, along with related features like naming templates, private channels, and admin settings.

AVC exists in two forms: the hosted service we run for you, and the self-hosted software you can run yourself. These terms cover the hosted service and the auto-voice.io website only. The self-hosted software is open source and governed by the AGPL-3.0 license, not by these terms.

3. Accounts and Discord

You sign in to auto-voice.io using Discord OAuth. We don't operate separate accounts or passwords. Your use of AVC also depends on Discord, so you must comply with Discord's own Terms of Service and community guidelines at all times.

Server administrators who add the bot are responsible for their server's use of the service, including how members interact with channels the bot creates.

4. Free tiers and trials

Servers with fewer than 100 members can use the hosted service free, forever. Larger servers get a trial when they add the bot: a free year for servers with 100 to 9,999 members at the time of adding, and 14 days for servers with 10,000 to under 1,000,000 members. Servers of a million members or more should contact us first.

We may adjust trial policies for servers that join in the future, but we will never retroactively shorten a trial that is already active.

5. Paid subscriptions

Paid plans are annual, per server, and priced by member-count tier as described on the pricing page. Every feature is available on every tier. You pay only for the scale of infrastructure your server needs.

Annual subscriptions renew automatically at the end of each billing period unless cancelled beforehand. We tell you the price and renewal date at checkout, and you can cancel any time before renewal.

Payments are processed by Paddle acting as Merchant of Record. That means Paddle is the seller of record for your purchase and handles payment processing, applicable taxes (such as VAT), currency conversion, and invoicing. Paddle's own buyer terms apply to the transaction itself.

We may change prices, but only with at least 30 days' notice, and any change applies from your next renewal, never mid-term. A subscription you have already paid for keeps its price for its full term.

6. The leniency policy

Our standard practice when a subscription lapses is the leniency policy described on the pricing page: warnings before expiry, a 60-day fully-working grace period, then a pause in which nothing is deleted, with instant reactivation whenever you return. We intend to honour this in all normal circumstances, but it is discretionary in cases of abuse of the service or of the policy itself.

7. Acceptable use

You agree not to:

  • abuse the service, including deliberately generating excessive load,
  • attempt to disrupt, degrade, or gain unauthorised access to other servers' use of the service,
  • use the service to violate Discord's Terms of Service or any applicable law.

We may suspend ("block") servers that attack or abuse the service. Where practical we will tell you why and how to resolve it.

8. Your data

How we collect and handle data is described in our Privacy Policy, which forms part of these terms.

9. Open source

The bot's source code is published under the AGPL-3.0 license. Nothing in these terms restricts or overrides the rights that license grants you over the software itself, including the right to run, study, modify, and share it.

10. Availability and changes

We run the hosted service with reasonable efforts to keep it available and reliable, but we do not offer a formal SLA on community-supported tiers. Features may evolve over time. We aim to improve, not remove.

If your plan lapses or you downgrade, we never delete your channels or settings. Channel creation pauses, and everything resumes exactly where it left off when you reactivate.

11. Termination

You can stop using the service at any time by removing the bot from your server. You can cancel a subscription's renewal at any time from your account on auto-voice.io, and it stays active until the end of the paid term.

We may suspend or terminate service to a server that breaches these terms, giving notice where practical. Termination does not affect your rights under the AGPL-3.0 license to the software itself.

12. Disclaimers

The hosted service is provided "as is" and "as available". To the maximum extent permitted by law, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the service will be uninterrupted or error-free.

13. Liability

To the maximum extent permitted by law, our total liability arising out of or relating to the hosted service is capped at the fees you paid us in the 12 months before the event giving rise to the claim, and we are not liable for indirect, incidental, special, or consequential damages, or for loss of data, profits, or goodwill.

Nothing in these terms excludes or limits any liability that cannot lawfully be excluded or limited.

14. Governing law

These terms are governed by the laws of South Africa. If you are a consumer, you keep any mandatory protections granted by the laws of the country you live in, and nothing here takes those away.

15. Changes to these terms

We may update these terms from time to time. When we do, we will give notice via the auto-voice.io website and/or our Discord support server, and update the date at the top of this page. Continued use of the hosted service after a change takes effect means you accept the updated terms.
